The Operations Coordinator plays a key role in ensuring the smooth and effective operations of EMSP. Your responsibilities range from team support to facility management, governance, project/event coordination and HR
Team Support:
- Provide seamless support to the CEO and the team
- You are the point of contact for all internal and external stakeholders.
- You organise team agendas including meetings and business lunches as well as meticulously handling European travel arrangements
- You take ownership for all meeting coordination and minutes
- You manage the EMSP's correspondence and you assist with report preparation
- You are in charge of the filing and CRM maintenance.
Projects/Event Coordination:
- Your voice counts for all project activities and hence gives you the opportunity to travel
- You are the primary contact for the EMSP Annual Conference and assist with the logistics of all EMSP meetings and events.
Human Resources:
- You assure the Payroll Office receives all salary data on time
- A welcoming onboarding for all new employees is your responsibility
- You are the go-to-person for all HR queries.
- You ensure a constant best practice and update office policies as necessary
Facility Management:
- You are the SPOC for Facility Management and Office Supplies including stock controlling, supplier research, negotiation and ordering
- You reconcile all incoming expenses and invoices and process payments
Governance:
- You assist the CEO with Executive Committee and Council meetings.
- You coordinate and submit the annual updates to the Moniteur Belge.
- You ensure all governance documents are managed properly.
- You make sure with the CEO that the organizational compliance is regularly reviewed.
- Minimum 2 years' of experience in Office Administration.
- Excellent written and spoken English and French.
- Proficiency in Excel and PowerPoint with a keen eye for detail.
- Effective prioritisation skills for this very varied role are vital.
- Solution-oriented mindset, proactive and self-driven.

- Competitive Salary up to 3,100 € x 13.92 + Teleworking Allowance, Lunch Vouchers, 8€, Private Pension, 4% of the gross monthly salary paid by EMSP and 2,5% by you, DKV Insurance (Employee + Family optional), (Outpatient, Dental, Hospitalisation) and Transport Reimbursement,
- Permanent Contract
- 38-hour week with 2 days optional teleworking
- 20 days of annual leave + up to 6 extra days annual leave between 25th December and 1st January
